Position Description

Celdara Medical, LLC (CM) is building a portfolio of early-stage medical companies in collaboration with leading academicians. Celdara is bringing these products to the clinic with care and urgency. Our Mission is to give hope and health to patients by transforming academic innovations into medicines that cure the world’s most challenging diseases.

We are seeking a highly organized and detail-oriented Grants Manager and Administrative Specialist to oversee grant administration and provide support across a subset of administrative functions. The ideal candidate will have experience in managing grants from application through reporting, along with skills in administrative tasks, for example, one or more of copy editing, human resources (HR), event planning, and accounts receivable/accounts payable (AR/AP). This role is perfect for a mid-career professional looking to leverage their expertise in grants management, grow their experiences and skills, while also contributing to the operations of the organization.

Duties and Responsibilities

Grants Management (~60%):

  • Manage all aspects of the grant lifecycle, including proposal development, submission, compliance, reporting, and renewal.
  • Collaborate with Celdara’s Program Managers and leadership to identify funding opportunities and align grant proposals with organizational goals.
  • Ensure timely and accurate submission of grant applications and reports.
  • Maintain accurate records of grant materials, funding agreements, and related documentation.
  • Track and analyze grant expenditures to ensure compliance with budgetary guidelines and funding restrictions.
  • Serve as a liaison between the organization and funders (e.g., National Institutes of Health), fostering positive relationships and clear communication.

Administrative Support (~40%):

The following are examples of the types of administrative support to which the successful applicant might contribute. A successful applicant will have demonstrated experience in at least one of these functions, in addition to grants management.

Editing:

  • Review and edit organizational materials such as reports, proposals, and communications to ensure clarity, consistency, and professionalism.
  • Ensure compliance with brand guidelines and funder requirements.

Human Resources (HR):

  • Assist in HR compliance functions such as onboarding new staff, maintaining employee records, and coordinating employee benefits.
  • Support recruitment efforts, including job postings, candidate correspondence, and interview scheduling.
  • Plan, organize, and support company events.

Marketing

  • Generate content and post to social media accounts.
  • Manage Celdara’s website.
  • Support company’s external communications strategy.

Accounts Receivable/Accounts Payable (AR/AP):

  • Process and track invoices, payments, and reimbursements, ensuring accuracy and compliance with financial policies.
  • Assist in budget preparation and financial reporting related to grant-funded projects.

Qualifications

  • Bachelor’s degree in business administration, nonprofit management, finance, or a related field (Master’s degree preferred).
  • At least 5 years of experience in grants management, nonprofit administration, or a related area.
  • Familiarity with the full grant lifecycle and compliance requirements for Federal funding sources, ideally including NIH.
  • Strong organizational, time-management, and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and e.g., NIH eRA Commons, ASSIST, etc.
  • Knowledge of HR practices and/or AR/AP processes preferred.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Work authorization.
